Here is the exact routing workflow we install for service businesses:
- The Trigger: A user completes your contact form. The webhook fires to Make.com.
- The Anchor: Make.com pushes the lead data into your CRM (creating a Deal card) and attaches the phone number.
- The Instant Reply: The WhatsApp API triggers a templated message to the user instantly: "Hi John, thanks for reaching out to Design Lab SA. I'm assigning one of our lead engineers to assess your request. Quick question to help us prep - do you have an existing website or is this a new build?"
- The Handover: The lead's answer comes back, updates the CRM card automatically, and notifies the assigned salesperson via a Slack alert or CRM notification that the lead is primed and waiting.
Handling After-Hours Traffic
Weekend leads are notoriously hard to convert. With this system, your WhatsApp bot can politely inform the user that you are closed, capture any necessary files or context, and queue them as high-priority tasks for Monday morning execution.
